How the 13th-month pay calculator works

The statutory minimum is generally one-twelfth of total qualifying basic salary earned during the calendar year. The key word is basic. DOLE guidance generally excludes overtime, holiday pay, premium pay, night differential and other amounts that are not integrated into basic salary. For accurate payroll, keep a month-by-month ledger instead of using annual gross compensation.

The tax result is a separate layer. BIR rules provide a combined exemption ceiling for 13th-month pay and other covered benefits, so employers should track the covered benefit total year-to-date. The calculator helps with the arithmetic, but the payroll system must still know which earning codes belong in the statutory basic-salary base and which benefit amounts have already used part of the exemption.

Area What to check
Core base Total basic salary earned in the calendar year
Minimum formula Basic salary earned ÷ 12
Common exclusions OT, premium, night differential, holiday pay and non-integrated allowances
Tax layer Track the combined ₱90,000 ceiling for 13th-month pay and other covered benefits
Audit control Reconcile monthly basic salary before calculating

How to verify the result before payroll approval

First, verify the employee’s status and the salary or compensation basis. Second, verify the statutory ruleset effective for the payroll period. Third, compare the calculated amount to the prior payroll and investigate material differences. Finally, preserve the approved payroll version so a future reviewer can reproduce the exact calculation even after rules change.

If you are processing multiple employees, the best workflow is not to repeat a public calculator dozens of times. Import the payroll file, apply the rules in bulk, flag anomalies and review only the exceptions. That is the conversion path behind these free tools.

Frequently asked questions

Can I use this calculator for live payroll?

Use it as an estimate and verification tool. Live payroll needs employee status, period-specific rules, YTD tax, company policies, attendance events and professional validation of special cases.

How often are the rules checked?

The current site ruleset is marked with a verification date. Before production use, the system should monitor official SSS, PhilHealth, Pag-IBIG, BIR, DOLE and NWPC sources and deploy changes only after regression testing.

Why does the calculator show a breakdown?

A payroll number should be explainable. Showing the salary basis, statutory component and tax path makes it easier to identify a wrong input or stale rule than a single black-box result.

Can employers calculate an entire payroll from Excel?

Yes. The Payroll Software Philippines workflow is designed to accept CSV/XLSX inputs, map employee fields, calculate the payroll, compare it with the existing payroll and route differences for review.

Where can I read the official rules?

Each calculator links to the relevant official government sources below. If a calculator and an official issuance conflict, use the official issuance and report the discrepancy so the ruleset can be corrected.
